Frequently asked questions

Getting started

What is BuildMint Queue?

BuildMint Queue is virtual queue management software for service businesses. Staff add customers to a queue, and each customer can follow their own position from a QR code or public tracking link instead of remaining in the waiting area.

Who is BuildMint Queue for?

It is designed for small and medium service organizations such as clinics, dental and veterinary clinics, salons, barbershops, car washes, auto repair shops, government offices, and service centers. Labels can be adapted to the organization's terminology.

Do I need special hardware or an app?

No special queue hardware or customer app is required. Staff use BuildMint Queue in a supported web browser, customers open a web tracking page, and an optional second browser display can show the ticket screen. A device and internet connection are still required.

Can customers add themselves to a queue?

Not in the current product. An authorized staff member creates the queue entry. The customer can then open their ticket or tracking page without creating an account.

What logo files are supported?

An optional organization logo can be PNG, JPEG, or WebP and must be no larger than exactly 2 MiB. SVG is not accepted.

Daily queue operation

What counts as a visit?

One successfully created queue entry counts as one visit. Page views, tracking refreshes, status changes, staff logins, failed submissions, and cancelled forms do not.

How does customer queue tracking work?

After staff add a customer, BuildMint Queue creates a ticket with a QR code, short code, and unguessable public tracking link. The customer's page shows only ticket-safe information such as their number, status, position, the current number, and service-provider availability. It does not list other customers.

Does a customer need an account?

No. A customer follows their unguessable public tracking link, scans its QR code, or enters the short code on the tracking page. Staff accounts remain authenticated separately.

Can I run more than one queue?

Yes. An organization can configure multiple queues. Each queue belongs to one location, has one assigned service provider, and has its own daily session, numbering, entries, and settings. A service provider can belong to multiple locations but can have only one active queue assignment for the current day across the organization.

What happens when an entry is skipped?

A skipped entry is preserved. Staff can move it next, move it to the end of the waiting list, or cancel it. Completing and cancelling entries preserves them as historical records rather than deleting them.

What happens at the visit limit?

Only new queue-entry creation is blocked. Active queues, existing entries, public tracking links, queue actions, and reporting available under the current plan continue working.

Plans and billing

How do monthly visit limits work?

Visits are pooled across all locations and reset at the start of each calendar month in the organization's configured timezone. Free includes 300 visits and Queue Plus includes 5,000 total visits per calendar month shared across all locations in the organization.

What is included in the Free plan?

Free includes 300 visits per calendar month, 1 location, 1 organization user, a 30-day reporting window, configurable labels, QR and link tracking, and self-service help.

What does Queue Plus add?

Queue Plus includes 5,000 total visits per calendar month shared across up to 3 locations, up to 5 organization users, retained reporting history, consolidated reporting, advanced analytics, CSV export, and authenticated email support.

Are monthly and yearly Queue Plus different plans?

No. Both have the same features and monthly visit allowance. Queue Plus is $9.99/month or $99.99/year. Existing subscribers should use Manage subscription for the options Lemon Squeezy makes available to their subscription.

What happens when I cancel?

Cancellation stops automatic renewal, but Queue Plus continues through the paid-through date verified by Lemon Squeezy. Only after paid access actually ends do Free limits apply. Existing queue data is not deleted.

What happens to extra locations or users after a downgrade?

They are preserved, not deleted. The primary location and the allowed Free-plan user remain operational; excess locations become plan read-only and excess users become plan restricted. Valid preserved access is restored after a verified re-upgrade.

What happens if a payment fails?

Queue Plus remains active while Lemon Squeezy reports a past-due renewal. If the subscription becomes unpaid, Free limits apply without deleting data and billing recovery remains available for 30 days. Verified recovery restores Queue Plus without resetting usage.

Can I request a refund?

Use Billing Help. Annual renewal requests made within seven calendar days may be reviewed when there has been no substantial post-renewal use. Monthly renewals are generally non-refundable after material use, subject to applicable law and documented exceptions. Refunds are not automatic.

Reporting and settings

What reporting is available?

Authorized users can filter read-only queue records by date, location, queue, service provider, status, and search terms. Free covers the latest 30 days per location. Queue Plus adds retained history, consolidated reports, advanced analytics, and CSV export.

Can I customize words such as customer or service provider?

Yes. Authorized users can choose a template and customize labels for the organization, location, customer, service provider, service point, queue, and ticket. The dashboard and other customer-facing or staff-facing screens use those configured terms where supported.

Can an archived queue or service provider be restored?

Not through the current interface. Archiving preserves historical sessions, entries, tracking, and reporting, but the archived configuration cannot be edited, reactivated, or reused. Review the confirmation carefully before archiving.

Privacy, retention, and support

Can I store medical records in BuildMint Queue?

No. BuildMint Queue is a queue-management tool, not a medical-record system. Do not enter diagnoses, clinical notes, payment-card details, passwords, or other unnecessary sensitive information in queue or support fields.

What happens to an inactive never-paid Free organization?

Warnings are scheduled after 45 and 53 full inactive days, deactivation after 60 days, and eligible permanent deletion after 90 days. An owner can reactivate during the 30-day recovery window. Holds and renewed qualifying activity stop the process.

How long is former-customer data preserved?

Former paying-customer data is preserved for at least 12 months after the later of paid access ending and the last qualifying authenticated activity. A warning is scheduled at 11 months, deactivation at 12 months, then a 30-day recovery window before eligible purge.

How do I request access, export, correction, or deletion?

An authenticated organization can use Billing Help for a privacy or data request. Requests require authorization and may be limited by verified legal, security, fraud, tax, billing, or deletion-audit retention requirements.

What support is included?

Free includes self-service guidance. Queue Plus includes authenticated email support for product use, technical issues, reporting, and account configuration. Every authenticated organization can use Billing Help for payment, charge, security, account-access, privacy, export, or deletion matters. No response-time SLA, emergency coverage, or phone support is promised.

Are AI Assistant and SMS available?

No. AI Assistant and SMS notifications are intentionally disabled for the current MVP launch.
